Build relationships with applicants through direct messaging. The application chat feature allows you to ask follow-up questions, request clarification, and provide updates without leaving Guildbase.
Accessing the Chat
Open any application and click the Chat tab or the message icon. This opens the conversation panel where you can communicate directly with the applicant.

Sending Messages
Type your message in the text box and press Enter or click Send. Messages are delivered instantly and the applicant receives a notification.
Message Features

Notification Settings
Applicants are notified of new messages via:
- Email — Immediate notification with message preview
- In-app — Badge notification when they log in

Applicants must have a Guildbase account to receive and respond to messages.

Remember that chat history is visible to all team members. Keep conversations professional and on-topic.

Quick responses show applicants you value their time and interest in joining your community.
Ask Specific Questions
When following up, be clear about what information you need. This reduces back-and-forth.
Team Collaboration
All team members with application access can view and participate in chat conversations. This makes it easy to collaborate on application reviews.
Pro Tip
Use the internal notes feature (not chat) for private team discussions about an applicant. Notes are never visible to applicants.
