Inviting Team Members

Add staff and collaborators to help manage your guild

Building a great community requires a great team. Learn how to invite staff members, assign roles, and manage pending invitations.

Accessing Team Management

Navigate to your guild dashboard and click "Team" in the sidebar. You'll see three tabs:

  • Members — Current team members and their roles
  • Roles — Role configuration and permissions
  • Invitations — Pending invites awaiting acceptance

Sending an Invitation

  1. Click the "Invite Member" button
  2. Enter the person's email address
  3. Select a role to assign (Admin, Reviewer, or custom role)
  4. Optionally add a personal message
  5. Click "Send Invitation"

Note

The invitee must have a Guildbase account. If they don't have one, they'll be prompted to create an account before accepting the invitation.

Default Roles

Guildbase provides three default roles with pre-configured permissions:

Role Access Level Best For
Owner Full access to everything Guild creator only
Admin Manage settings, templates, workflows Senior staff, managers
Reviewer View and process applications only Moderators, recruiters

Managing Pending Invitations

From the Invitations tab, you can:

  • View status — See when the invitation was sent
  • Resend invitation — Send another email if needed
  • Cancel invitation — Revoke before acceptance

Invitation Expiry

Invitations expire after 7 days. If not accepted, you'll need to send a new invitation.

Changing Member Roles

To change a team member's role:

  1. Go to the Members tab
  2. Find the member you want to update
  3. Click the role dropdown next to their name
  4. Select the new role

Removing Team Members

To remove someone from your team, click the remove button (trash icon) next to their name. They will immediately lose access to the guild.

Warning

Removing a team member cannot be undone. You'll need to send a new invitation if you want to re-add them.
