Make your template live and share it with your community

Once your template is ready, it's time to go live. Learn how to publish your application form and share it with your community.

Template States

Templates can be in one of three states:

Draft

Work in progress, not accepting submissions

Published

Live and accepting submissions

Scheduled

Will go live at a specific date/time

Publishing Your Template

  1. Open the template you want to publish
  2. Review all fields and settings
  3. Click Publish in the top toolbar
  4. Confirm the publication

Note

Publishing makes your template immediately available. Use the preview feature to test before going live.

Scheduling Publication

To schedule a template to go live at a specific time:

  1. In template settings, find Scheduling
  2. Set the Open Date to when you want applications to start
  3. Optionally set a Close Date for automatic closure
  4. Save and publish the template

The template will automatically become available at the scheduled time.

Getting Your Application Link

Once published, your template has a unique URL that applicants use to submit applications.

Finding the Link

  1. Go to Templates in your dashboard
  2. Find your published template
  3. Click the Share button or copy icon
  4. The URL is copied to your clipboard

Post the link in your server or create an embed with your bot

Share anywhere — forums, social media, websites

QR Code

Generate a QR code for events or printed materials

Embed

Embed the form directly on your website

Unpublishing a Template

To stop accepting applications, click Unpublish on the template. Existing applications are not affected, but new submissions will be blocked.

Important

Unpublishing doesn't delete submitted applications. They remain in your system for review.

Editing Published Templates

You can edit a published template, but be aware of the impact:

Change Type Impact
Title/Description Safe — affects new viewers only
Add New Fields Safe — existing applications won't have these
Edit Field Labels Caution — may confuse review of old applications
Delete Fields Warning — data from existing applications preserved but hidden

Pro Tip

For major changes, consider creating a new template version instead of editing the published one. This keeps historical data clean.
